Role purpose

Own the planning, coordination and execution of Vayavya Labs’ marketing activities. Working directly with the Head of Sales & Business Development, the Lead will coordinate events, campaigns, brand communications and digital marketing initiatives; translate priorities into actionable plans; and maintain consistent, technically accurate messaging. This is a hands-on individual contributor role, not a people-management position.

Key responsibilities

Events, conferences & workshops

• Own end-to-end coordination of conferences, exhibitions, trade shows and workshops.
• Liaise with organisers, vendors, agencies, speakers and internal stakeholders.
• Manage registrations, sponsorship commitments, booth branding, collateral, travel coordination and shipment of materials.
• Ensure presentations, demonstrations and promotional assets are ready ahead of deadlines.
• Coordinate pre-event promotion, customer invitations, meeting arrangements and post-event follow-ups with sales.
• Track budgets, checklists, deadlines, outcomes and lead handovers.

Brand management & corporate communications

• Safeguard Vayavya’s brand identity, positioning and visual consistency across channels.
• Review presentations, digital content, promotional materials and campaigns for brand quality and messaging.
• Coordinate brochures, capability decks, product one-pagers, case studies and approved templates.
• Support announcements, partnerships, achievements, press releases and external communications.
• Work with technical teams to validate claims and maintain a repository of approved brand assets.

Marketing campaigns & sales alignment

• Translate sales and business development priorities into campaign plans, owners and timelines.
• Coordinate digital campaigns across LinkedIn, email, website and other relevant channels.
• Align messaging and schedules with events, product announcements and target segments.
• Track execution and results, gather feedback and coordinate improvements.
• Support lead generation through campaigns and timely handover of responses to sales.

Digital marketing & content coordination

• Maintain a coordinated editorial calendar for LinkedIn, newsletters, website updates and email campaigns.
• Work with digital marketing resources, designers, writers and external agencies.
• Obtain inputs from engineering, product, sales and leadership; check content for clarity, accuracy and relevance.
• Ensure approved content is published on schedule and monitor basic performance indicators.

Marketing operations & stakeholder coordination

• Maintain an integrated calendar of events, campaigns, announcements and deliverables.
• Coordinate stakeholders, agencies and vendors; manage quotations, purchase requests and budgets.
• Track dependencies, follow up proactively, resolve bottlenecks and escalate decisions promptly.
• Provide concise progress updates and maintain structured records of expenses and outcomes.

Required skills & experience

• 4–7 years in B2B marketing, marketing communications, field marketing or related roles.
• Hands-on coordination of corporate events, conferences, exhibitions or marketing programs.
• Strong planning, stakeholder coordination, writing, follow-through and attention to detail.
• Experience working with digital teams, designers, content creators and external agencies.
• Understanding of brand management, corporate communications and campaign execution.
• Ability to work independently across competing deadlines; proficiency in PowerPoint and Excel.

Preferred qualifications

• Experience in technology, engineering services, semiconductor, automotive or embedded systems.
• Familiarity with LinkedIn marketing, email campaigns, website content and marketing analytics.
• Experience gathering and validating inputs from technical subject matter experts.
• Knowledge of Canva, Figma, WordPress, CRM or marketing automation platforms.
• Bachelor’s degree in engineering, marketing, communications, business or a related field; MBA is a plus.

• Events and workshops are delivered on time, within agreed budgets, with no critical logistical gaps.
• Marketing collateral and communications consistently reflect Vayavya’s brand and technical positioning.
• Campaigns support sales priorities and launch on schedule.
• Marketing calendars, deliverables and stakeholder follow-ups remain reliable and visible.
• The Lead independently drives execution, anticipates issues and brings forward decisions when needed.
